Once an application form for lessons is received the Director of Music will organise a timetable for each instrument based on the availability of the itinerant tutor |

Students will be given a fixed 30-minute time each term but this may be changed by the Director of Music if implementation of another policy in this document makes it appropriate to do so. |

The time will rotate each term, normally to the next hour, but sometimes to a different slot to create a best fit among all those having lessons in that instrument – the Director of Music will organise this each term. |

(d) |
While some lessons will take place before or after school, or at lunch time, it is anticipated that the majority will take place during the school day. |

(e) |
Students already having lessons outside of class time may keep those fixed times and will not be part of the rotation, but students signing up to the scheme from 2009 will be subject to the rotation. |

(f) |
It is understood that some students will not be available for before or after school slots, which is why there is some discretion in the hourly rotation. |

(g) |
Students will leave classes without fuss just before the appointed time and will return to class within 5 minutes of the conclusion of the instrumental lesson |

(h) |
It is of paramount importance that students return to class with the minimum of disruption to the flow of the lesson they are joining. They must enter quietly with no fuss, without interrupting the teacher. They should have a buddy in the class who can brief them on the activity. |

It is entirely up to the student to make sure that they have caught up any work missed, especially written work, in their own time. The class teacher cannot be responsible for students who fall behind in a subject because they are learning an instrument and have not caught up on work |

(j) |
If a student is found to be failing a subject because of going out of class and not catching up on work the subject teacher may express concerns with the Director of Music who will then speak to the student and, if no improvement is made, will then organise for instrumental lessons to cease. |

If an itinerant tutor has concerns about the progress being made on the instrument the student cannot expect to continue to come out of class lessons and the same procedure will be followed as in (j) above |

(l) |
Students coming out of class time to learn an instrument are expected to take part in school music groups if and when invited to do so. A student who declines the opportunity to participate in a school music group cannot expect to remain in the itinerant programme |

(m) |
If a student is learning more than one instrument the Director of Music will arrange, as far as is practicable, for one of those lessons to always be outside of class time |

(n) |
It is the responsibility of parent or student to ensure that the itinerant tutor knows in advance if a student is going to absent for a lesson, otherwise the tutor is entitled to charge for the lesson. This includes any weeks where the school may be running another activity which prevents the student from attending the lesson. |

(o) |
Itinerant tutors will continue to be police checked and will adhere to all Pinehurst policies in terms of conduct of staff, but they are not employed by nor paid by the school. |

(p) |
This policy will be reviewed by the school management each year and parents will be informed of any changes. |
